Customers

A customer is an individual or business that purchases another company's goods or services.  You can add a new customer or edit an existing customer's information by going to the customer list here. From the list you can add a new customer by clicking on the "Add New" button in the top left section of the screen.  You can edit an existing customer by clicking on a customer name in the list which will bring you to the customer portal.  From there click on the "Edit billing address" link.  Some key things to know about this screen are:

  1. You can add one or more email addresses in the email field separated by a comma.  Emails in this list will be the recipients of invoices when the system transmits them via email.  
  2. Invoices can be sent to the customer either via email or printed and sent via the postal service or both methods.  Use the check box "Invoice via email" or "Invoice via postal mail" to set the invoice delivery preference for the customer.  
  3. You should set payment terms according to your business practices and agreements with your customers and if the payment terms you need are not present they can be added here.
  4. You should set the sales tax jurisdiction according to your sales tax nexus.  Sales tax nexus is the connection between a seller and a state that requires the seller to register then collect and remit sales tax in the state. Certain business activities, including having a physical presence or reaching a certain sales threshold, may establish nexus with the state.  You can add sales tax jurisdictions here.
  5. You can specify a primary account rep to associate sales with the customer.  The rep could be a sales person, territory, distribution company or other identifier that you may use to support the customer account.  You can manage the list of account reps here.
  6. You can set a customer's credit limit that will trigger a prompt to contact the Accounts receivable team when the sum of open, new orders, and unpaid invoices reaches the credit limit and the check box for enforce credit limit has been checked.
